About HFES

The Human Factors and Ergonomics Society, founded in 1957, is the world’s largest scientific association for human factors/ergonomics professionals.

HFES provides education, builds connections, and advocates on behalf of human factors/ergonomics field—from students to researchers, and industry practitioners—and fosters collaboration across the spectrum of professionals to drive forward advances in human factors and ergonomics because HFES believes that the seamless connection between humans and systems, and the connection between research and application, is vital to keeping all human beings safe. 

The mission of HFES is to advance the science and practice of designing for people in systems through knowledge exchange, collaboration, and advocacy.

About the International Annual Meeting

The International Annual Meeting is the premier educational activity organized by the Society.  The annual meeting typically hosts between 1,500 and 2,000 attendees from education, government, and industry and features more than 600 technical presentations. The meeting continues to ensure the quality of the submissions through rigorous peer review, while ensuring the proceedings are archived and indexed for wide dissemination.  Additionally, content is tailored to meet attendee interests by following tracks organized by the society’s diverse Technical Groups.

A variety of special sessions, from workshops to keynotes to panels, provide the opportunity to learn from thought leaders in the field of human factors and ergonomics and the industries we shape. The annual meeting is a friendly gathering with a variety of networking opportunities including receptions and other social activities for students and early career professionals. 

Exhibit Booth Rental Fee

  • All booths are 10’ x 10’ with pipe and drape around the sides and back.

  • Each in-line booth is $2,500 USD.  

  • Annual Meeting exhibitors who choose to exhibit at the separate HFES activity following the annual meeting, ErgoX, are entitled to a 25% discount for exhibiting at both meetings.

  • A limited number of 6' tabletop exhibition spaces are available for nonprofit organizations only at $1,500.  For-profit entities may not purchase a table top.

  • A limited number of 6' tabletop exhibition spaces are available for HFES Local and Student Chapters.  These are available on a first-come, first-served basis.  We regret we cannot accommodate all requests.

  • For table tops: One 6’x30” skirted table, one chair, Identi¦cation sign, one exhibit hall personnel badge that does not permit entrance to educational sessions or social events.


Items such as carpeting, equipment rental, internet, electrical, miscellaneous services, and janitorial services may incur additional charges. Details will be provided in the Exhibitor Services Kit once payment is received.

Exhibit Booth Rental Fees and Space Assignments

All exhibit booths will be 10’ x 10’. The fee for a single booth is $2,500 USD. Full payment for each booth must must be received in order for exhibitor to be provided the Exhibitor Services Kit.  Exhibit booths will be assigned in order of the exhibitor’s preference on a space available basis with reference to the order in which applications accompanied by full payment have been received.   Any payment not received by October 1, 2022 will result in forfeiture of exhibition space.

Cancellation and Refund Policy

Notification of cancellation must be made in writing to If space is cancelled prior to Friday, September 2, 2022, a refund in the amount paid, less 50% (USD), will be issued. No refunds will be issued after September 2, 2022 after which all sales are final and non-refundable.

Exhibitor Badges

All exhibitors must register for badges. One (1) complimentary badge for exhibit personnel will be included with each 10’ x 10’ exhibit booth space. Up to two (2) additional badges for exhibit personnel are available for purchase at the discounted registration rate of $395 USD each. The deadline for exhibitor staff registration is Friday, October 7, 2022. Exhibit personnel badges are to be used only by company personnel working at the exhibit booth. Exhibit personnel badges allow entry to educational sessions.


Exhibitor Services Kit

The Exhibitor Services Kit will be available to fully paid exhibitors by August 15, 2022. The services kit contains order forms and information regarding move-in and move-out of exhibits, labor, shipping, utilities, and other supplies and services.


Security will be provided on a 24-hour basis beginning during exhibit move-in and continuing through exhibit move-out. Security and the protection of special valuable items are the responsibility of each exhibitor at the exhibitor’s own expense.

Company Description and Logo for the Onsite Program

A 50-word description and black and white or color logo for each exhibiting company will be included in the Onsite Program.  Word counts are greater for sponsors. Please see below.  Please submit your company’s description and high-resolution logo in .jpg format to HFES along with your application.
